Booking a Trip includes certain terms and conditions on product and services purchased from Hiking Nepal P Ltd., and is a legal binding between you and Hiking Nepal Pvt. Ltd.
Booking a trip carries important information regarding Tour and Trek booking with Hiking Nepal Pvt. Ltd. Please note that you are traveling in the land of Himalayas. During your trip, we hope will not happen, but might get some injuries, serious sickness, and shall be rescued by the helicopter; loses, damages etc. In such cases, you will be obliged to bear al overhead at your own. These things have been mentioned in our contract. Hence, it is most important that you have read and understood all the procedure before confirming booking with us. It indicates your acceptance of all the terms and conditions.
We kindly request you to apply the following Terms and Conditions that guide the relationship between you (the client) and Hiking Nepal Travel (P) Limited (hereinafter referred to as "The Company"), Registered Company Number [Your Registration Number]. You will be bound by the Terms and Conditions while booking your trip, along with the cancellation policy and certain limitations of liability. To avoid any legal or other disputes, both parties agree to these Terms and Conditions during the trip. This booking Terms and Conditions document incorporates important information that is essential for you to read carefully and understand. The Booking Terms and Conditions set out the basis of your legal relationship with Hiking Nepal.
We expect you to read this document thoroughly before booking a tour. By doing so, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you are booking on behalf of other participants, you guarantee that you have the authority to accept and do accept these Terms on behalf of the other participants in your party. Therefore, we kindly ask you to assimilate all our conditions.
Remarks: Please note that these Terms and Conditions apply when you book directly with us. However, if you book through another party or third-party agent, their Terms and Conditions will apply, not ours.
When booking a trip with us, we may require some personal and travel-related information from you. Rest assured, we are committed to protecting your privacy. Any personal or private information you provide will never be shared with any third parties for any purpose. We understand the importance of safeguarding our customers' privacy, and therefore, all personal and professional details you share with us will be kept strictly confidential. Your trust is of utmost importance, and we take every measure to ensure your information remains secure and private.
The term "trip" refers to any type of product, itinerary, or activity purchased by clients through Hiking Nepal, including trekking, tours, expeditions, and other adventure or tour programs.
The existence of the contract and booking will be confirmed when Hiking Nepal issues a written confirmation after receiving the applicable deposit amount. You are kindly requested to carefully check your confirmation, and if you find any incorrect or incomplete information, please notify Hiking Nepal immediately. It is essential that your name matches exactly as stated in your passport, and you agree to provide full, accurate, and complete information to Hiking Nepal.
The company reserves the right to change trip prices until your booking is confirmed, and a contract is finalized. Except as expressly stated herein, Hiking Nepal is not liable for any warranties, collateral agreements, prior agreements, descriptions of services, or conditions not directly specified in this document.
Deposit requirements may vary depending on the country of origin, so Hiking Nepal has set a fixed deposit procedure to ensure clarity and consistency.
At the time of booking your trip, you are required to pay a deposit of 20% of the total trip cost. The remaining balance is to be paid upon your arrival in Kathmandu, and before the departure of your trip.
Deposits should be sent directly to Hiking Nepal or its authorized agents. For custom or tailor-made trips, a higher deposit or full payment may be required at the time of booking. If there are any variations to the deposit policy not mentioned in this clause, Hiking Nepal will provide full guidance at the time of booking.
Payment Methods: You can proceed with the payment via two methods for your booking deposit. The most common method is a bank transfer, but other options may be available as well.
Payment Approach:
You can proceed with booking your deposit payment via two common methods: bank transfer or credit/debit cards (Visa or MasterCard). Please follow the instructions provided in the booking form for a smooth transaction.
(1) Payment by Credit Card (MasterCard or Visa Only)
To pay by credit card, simply complete the necessary details in the booking form. Once filled, you can fax it to +977 1 4423 296 or scan and email it to Hiking Nepal. Your credit card will be processed by Himalayan Bank (Credit Card Division) on behalf of Hiking Nepal Pvt. Ltd. Please note: never send the form directly to Himalayan Bank. Additionally, please provide a copy of your passport or any valid ID along with the filled form.Note: A 4% surcharge applies when making payment by credit card.
(2) Payment via Wire/Bank Transfer

Please note that Hiking Nepal is not liable for any delays or losses during the transfer process. If we receive an insufficient amount due to intermediary bank charges or other reasons, you will be requested to pay the remaining balance so your full trip cost is covered.
Once you initiate the transfer, kindly email us the bank reference number or remittance slip. This will help us track the payment if it is forwarded with a different name. We can follow up with the bank upon receiving your reference number and remittance slip.
You have the flexibility to make the final payment for trekking, tours, climbing, expeditions, or any other trips in Nepal upon your arrival. The final payment can be made in various ways, including bank transfer, cash, or by credit card (Visa or MasterCard). If you choose to pay by credit card, please note that a 4% surcharge will apply. This surcharge applies to all payments, including deposits, final balances, trip extensions, and any additional purchases made during your trip.
I) If Clients Cancel the Trip
All cancellations must be made in writing and acknowledged by the Company. The cancellation charge will be determined based on the date the cancellation request is received by Hiking Nepal or its agents.
If you decide to cancel your trip, you will forfeit the money you have already paid, and cancellation charges will apply to all canceled reservations. In such cases, the full advanced amount will be levied as a cancellation charge.
No refunds will be provided if you voluntarily leave a trip for any reason after the trip has commenced. If you are involuntarily forced to leave a trip due to unforeseen circumstances, refunds will be at the sole discretion of the company. Please note that no refunds will be made for accommodation, transportation, sightseeing, meals, or services that you did not utilize. These conditions are subject to change, so please read them carefully.
We strongly recommend that all clients take out cancellation insurance at the time of booking. It is crucial to understand that if you voluntarily leave a trip for any reason once it has started, you will not receive any refund for the accommodation, transport, sightseeing, meals, or services you have not used.
II) If the Cancellation is Made by the Company
Hiking Nepal reserves the right to cancel any trip you have booked until it is officially guaranteed to run. We also reserve the right to cancel any trip, including guaranteed trips, due to reasons beyond our control. Such reasons may include natural disasters, strikes, industrial actions, wars, riots, sickness, quarantine, government intervention, extreme weather conditions, or other unforeseen events. In the event of such a cancellation, we will provide a full refund of the trip price.
If we cancel your guaranteed trip, which was ready to run, we will either refund your trip deposit or offer you an alternative trip of equal value.
Please note, we are not responsible for changes made by airlines, flight schedules, itinerary modifications, vessel substitutions, changes in cabin categories, or hotel accommodations. You are fully responsible for any such issues. Similarly, we are not liable for complications arising from visa bookings, vaccinations, non-refundable flights or train tickets, other fees, loss of earnings, or loss of enjoyment due to changes or cancellations beyond our control.
Hiking Nepal has designed its tours and treks to suit the varying levels of interest and fitness of our clients. All of our trips require a certain level of physical fitness, and we highly recommend that you consult with your local GP to assess your health and fitness before booking your trip. It is essential that you inform us in advance if you have any pre-existing medical conditions or disabilities. This is your responsibility, and your health condition may affect your ability to travel or require special attention during the trip.
If you have any pre-existing health issues, it may increase the risk of needing medical attention while traveling. Please take this into account when booking your trip, as it may affect your ability to fully participate in the activities planned. Your safety and well-being are our priority, but please note that we cannot guarantee specific medical treatment or facilities, as these can vary from country to country.
As a local hospitality-based company, we will do our best to accommodate special requests, including dietary preferences and other personal needs. However, please be aware that we cannot meet all medical or health-related requests due to limitations in local infrastructure and medical facilities. Therefore, we strongly advise you to consider the level of adventure and fitness required for your chosen trip and to be sensible about your personal health and fitness levels.
Once you have booked your trip and it has commenced, if you are unable to continue or complete the trip due to health reasons, Hiking Nepal will not be held responsible for any disruptions or inability to fulfill the itinerary. It is crucial that you consider your physical condition and health needs carefully before committing to any adventure.
Adequate and valid travel insurance is essential for all travelers before embarking on any trip. Your insurance should cover accidents, injury, illness, and death, as well as medical expenses, including any related to pre-existing medical conditions. It should also include emergency repatriation, which may involve helicopter rescue and air ambulance services if necessary, as well as personal liability coverage.
We strongly recommend that you purchase comprehensive travel insurance to ensure you are protected during your trip. In the event of any claim for compensation, you will be required to submit proof of your insurance. Please ensure that your insurance policy covers all aspects of your travel, as it is vital for your safety and peace of mind throughout your journey.
Mountain adventures are inherently unpredictable, and bad weather conditions in the mountains may cause delays in domestic flights. Please be aware that such delays are common, and clients are responsible for bearing any additional expenses, including food and accommodation costs, incurred due to these delays.
In the event that you wish to make alternative arrangements, such as opting for a helicopter flight to avoid delays, all additional costs will be your responsibility.
We do not accept responsibility for costs incurred due to missed international flights as a result of any delays or changes in the itinerary. However, we will make every effort to assist in providing alternative arrangements, where possible, to minimize the inconvenience caused.
Please understand that due to unforeseen circumstances, changes to the itinerary may occur. In such cases, you have the option to reschedule your trip or choose an alternative trip of the same category. If you decide to reschedule, any amount already paid will be credited towards your new booking, and you will only need to pay the difference in price if the rescheduled trip costs more than the original booking.
If you request a trip amendment 15 days or more before your original departure, we will accommodate the changes with a charge of US$100 per person. However, if changes are requested closer to your departure date, the cost of amendments may be higher, depending on the company's policy. This is due to the need for new arrangements, such as hotels, flights, or other services for the new destination, which may result in additional costs.
When traveling with us, you must have a valid passport with at least 6 months' validity. You can obtain an on-arrival visa for Nepal. For Tibet and Bhutan, we will assist with necessary arrangements upon request. For India, you will need to obtain a visa from your home country.
It is your responsibility to ensure that you have the correct visas for all the countries you will be visiting. We cannot accept any responsibility if you are denied entry to any country or destination due to incorrect or missing visa documentation.
Hiking Nepal is not liable for any injuries, health conditions, emotional distress, or other issues that may arise during the trip. Additionally, the cost of our packages does not include personal insurance. Therefore, we strongly recommend that you purchase comprehensive insurance coverage, including medical emergencies and evacuation (e.g., helicopter rescue), when booking your trip to ensure you are fully protected.
No discounts or refunds will be provided for unused or missed services, including cases of voluntary or involuntary termination of the tour. This includes situations such as illness, death of a family member, late arrival, premature departure, or any other unforeseen circumstances that prevent you from fully participating in the tour.
Children under the age of 14 are not permitted to join the trip unless accompanied by a legal guardian and under their full supervision at all times.
Hiking Nepal is committed to responsible tourism, focusing on benefiting local communities, tourists, the environment, and the tourism industry as a whole. We expect all our clients to adhere to our responsible tourism guidelines. Failure to comply with these policies may result in expulsion from the trip program.
We warmly welcome all constructive and reasonable complaints. If you encounter any problems or obstacles during your trip, please inform us immediately. You can reach out to the tour leader or directly contact the Director of Hiking Nepal. For any customer service issues, please feel free to share your concerns with us directly, and we will do our best to address them promptly.
International airfare and other flight costs are not included in our tour packages unless specifically mentioned in the tour description. After booking, you will need to arrange your own flights, although we can assist in finding the best prices if requested. If we do book your tickets, we are not responsible for any changes to flight itineraries, flight times, or delays. Additionally, we do not provide updates or advice regarding air travel status or issues with your flight.
During holiday and off-seasons, the company offers special discount rates on certain services. These special offers are applicable only to specific products and are valid for a limited time. To take advantage of these offers, bookings must be made within the specified period. Any bookings made before or after the offer period are not eligible for the discount and cannot claim the offer at any time.
Hiking Nepal reserves the right to update and amend these terms and conditions at any time. We encourage you to regularly check for any changes. The latest version of the terms and conditions will be available on our website for your reference.
