Booking a Trip includes certain terms and conditions on product and services purchased from Hiking Nepal P Ltd., and is a legal binding between you and Hiking Nepal Pvt. Ltd.

Booking a trip carries important information regarding Tour and Trek booking with Hiking Nepal Pvt. Ltd. Please note that you are traveling in the land of Himalayas. During your trip, we hope will not happen, but might get some injuries, serious sickness, and shall be rescued by the helicopter; loses, damages etc. In such cases, you will be obliged to bear al overhead at your own. These things have been mentioned in our contract. Hence, it is most important that you have read and understood all the procedure before confirming booking with us.  It indicates your acceptance of all the terms and conditions.

1. THE CONTRACT:

We, Hiking Nepal follow certain terms and conditions that govern the relationship between you (clients) and us (Company) registered as Hiking Nepal Pvt. Ltd. and identified number is 603524486. Please kindly note that while booking a Trip, you are agreeing to be bound by the terms and condition along with cancellation policy and limitation of liability. Both the parties (You and The Company) agree the terms and condition resolve any legal or other disputes that might arise during the trip.

2. BOOKING A TRIP

“Trip’ here is defined as any product, itinerary or activities that you buy with us including Trekking, Tours, Expeditions, and/or other adventure and tour programs. A booking is accepted and becomes definite only from the date when the Company sends a confirmation invoice or email. Then onwards, the contract between the Company and the Client comes into existence. Before your booking is confirmed and a contract comes into force, the Company reserves the right to increase or decrease brochure prices. Please note that the company would not be liable to any warranty, collateral agreement, prior agreement, description of services, or conditions, other than as expressed herein.

Booking and Payment

If you are satisfied with the proposal, we request you to fill up an online booking form along with a 20% payment of total trip cost. Your booking form should be attached with a scan passport copy and a headshot photograph. One member of a team can fill up a booking form however; all another member should be familiar with the terms and condition before confirmation.

The trip cost is always quoted in US$ unless otherwise stated. Booking deposit can be made by Bank Transfer or by Credit Card (Visa or Master Card). 20% of your deposit is the non-refundable amount and compulsory to deposit by every member. You can pay your remaining amount once you arrive in Kathmandu. Meantime, the conditions applied only for Nepal Trip or your travel to other destination- Tibet, Bhutan, India via Kathmandu. Be informed that your deposit by credit card or debit card will deduct an extra 4% as Bank service charge.

In case of Tailor Made trips, you may require a higher deposit or full payment during booking, which may differ from the deposit rate referred in this clause. In such cases, you will be timely advised on mail by Hiking Nepal for the amount to be paid.

Payment:

Payment is done once you are agreed with the terms and conditions of Hiking Nepal and fill up a Booking form. Then, you should pay 20% of the total trip cost and in a group, each member should deposit the mentioned amount. For the payment, you can either Bank transfer or pay by Credit Cards (Visa/MasterCard/AMEX).

Don’t forget to Email the Bank Reference Number or remittance slip on deposit. It can track and claim the fund easier if provided with asked details (reference #/remittance slip or sender credential) and in case Bank misplaces the transfer.

Cancellation Policy

  • If you leave your trip after starts on whatever the reason be, no refund will be given for any unused portion of the trip.
  • If the company in failed to provide the trip due to unexpected circumstances like flight cancellation by airlines, heavy snow, landslides and any other disasters that are out of control; a choice for the tour of similar nature would be provided. Alternatively, your trip could also be postponed for the next time. However, any extra expenses incurred due to such cancellation would be your own liability.
  • Likewise, any extra expenses incurred by you due to delay or cancellation of flight or any additional cost should bring upon yourself.

The Client is strongly advised to take out cancellation insurance at the time of booking.

Insurance

The trip cost does not include personal travel insurance.  We do our best to make your journey safe and comfortable; however, you travel at your own risk all the time. Hence, we suggest you take a personal travel insurance policy.

We advise taking a “Trip cancellation and medical insurance policy” before you arrive in Nepal, to protect against any unforeseen circumstances.

In case of high altitude trekkers’, your insurance policy should cover helicopter rescue or surface evacuation.

Medical Condition and Special requirements 

Traveling to the Himalayas required good health, physically fit, and a free mind. Hence, the company requests you to mention any medical conditions, physically challenged conditions as well as any mental or physical condition that might affect or consider fitness while traveling. Even failure to mention any such condition that might result in cancellation of the trip, you will need to bear cancellation charges at your own.

Keep in mind that for some trips; ages, mobility, pregnancy, and physical or mental condition should be considered. You should check carefully prior to confirming your trip. Any facilities other than not mentioned as well as agreed in writing will not be bear by the company. If you have any special dietary requirements, the company do not compromise, however, such request does not form a part of our agreement and will not be liable in case of not meeting such request. Regarding medical facilities, it varies from country to country, hence the company does not gives warranties, or guarantees for the standard of such treatment and even do not makes any representations.

Amendment of the Trip (Any Changes in Itinerary)

We, Hiking Nepal accept the amendment on a trip only prior to confirmation of booking. Once you arrive in Kathmandu, the trip will run as agreed. The amendment or changes to trip is accepted only before 35 days of your arrival in Kathmandu. In case of amending trip 30 days prior to the trip, addition USD 30 per person would be charged. If you wished to amend the trip till the date of your arrival, the cost of the amendment may be higher depending upon arrangements with the third parties- Hotels, Guest Houses, ground operations or flight.

Sometimes, Domestic flight may be delayed due to unfavorable weather in a country. Hence, in case of delayed return flights, you are responsible for all the additional cost incurred during your stay, including accommodation and food. Also, to avoid flight delays, you have an option of Helicopter Charter and the cost incurred will be yours. No additional services will be provided unless it is mentioned during booking a trip.

Likewise, Hiking Nepal will not incur any extra cost in case of missed or delayed of International flight, however, could assist to make alternative arrangements whenever possible.

NOTE:

“Hiking Nepal will not be responsible for any changes in the itinerary due to unforeseen circumstances: Government restrictions, natural calamities, political strike, flight cancellation, illness/accidents….”

“The amendment or changes on the route might be done during the trekking based on the feasibility and flexibility by the Guides.”

Passport and VISAS

You should carry a Valid Passport with an appropriate VISA. Please ensure that your passport is valid at least for 6 months beyond the duration of the trip. Nepal VISA is available on your arrival in Nepal. However, there are listed countries who need to apply for VISA to their own country. Similarly, for the Tibet and Bhutan VISAs; we, Hiking Nepal will make necessary arrangements upon request. However, for India VISA, you will need to apply for a VISA from your own country.

Please make sure that you are in possession of the correct VISAs for the countries you are willing to travel. Hiking Nepal will not be responsible for the refusal of your entry to a country due to your incorrect VISA documentation or any other external reasons.

Complains

About the trip and services, you should share with the Trip Leader or Guide to whom you feel comfortable and make appropriate action.

Any Changes in Terms and Conditions:

Hiking Nepal reserves the right to update and amend any information in terms and conditions at any time. Hence, we suggest keeping update with the information. The updated Terms and Condition will be found on the website: http://www.hikingnepal.com/information/booking-terms-conditions.

“Keep a note and accepts that you are traveling in the Himalayan Kingdom. The trips include trekking, walking, climbing, and mountaineering undertaken in the remote parts of the Himalaya carries an inherent risk of fatal injury or even death due to unpredictable weather that is beyond anyone’s control. Hiking Nepal will not be responsible for any such incidences. However, it is better to do best to reduce any risks involved with the introduction of Precautionary measures.”
